Cap, waitlist, waiver, and fee in one drop-in link

The cap, the waitlist, the waiver, and the night fee live on one link players open on their phone.

Most drop-in nights run on tools that do not talk to each other. A form for names, a PDF waiver someone may not have signed, an e-transfer thread for fees, and a group chat for the people waiting on a spot.

My League Portal puts the cap, the waitlist, the waiver, and the fee on one drop-in sign-up page. You share one link. Players see the details, accept the waiver, and take a spot. If the night is full, they join the waitlist. For the rest of the setup, use the drop-in sign-up guide.

The four pieces

1. A cap

Set a maximum number of players for each session to match the gym, court, or field. Once the cap is reached, new sign-ups go to the waitlist.

2. A waitlist

When the session is full, players can join the waitlist and see their spot on the page. If someone drops, you move the next person onto the list from the check-in screen. It does not move them by itself. Players can remove themselves until 30 minutes before start.

3. A waiver

Attach a drop-in waiver. Players read and accept it on the sign-up page before they play. Digital waiver text is included on the free plan. On Pro and Enterprise, PDF upload pulls the text out so you can edit it before saving. The league owner can download a signed-waiver log from Settings, under Waivers. It lists who accepted, when, and which waiver. My League Portal does not write the waiver or give legal advice.

4. A fee

Set a per-night fee, players choose cash or e-transfer, and see who's paid at a glance (prepaid weeks supported). The fee appears on the sign-up page. The showroom drop-ins are set up at $12 CAD.

You also choose when sign-ups open and close. Open them right away, keep them closed until you open them, open them closer to the date, or open them at a set time. Close them a set number of minutes before start. The default is 60 minutes before. Sessions can repeat weekly, every two weeks, or monthly. Each upcoming date counts toward your plan's active-session limit.

At the gym, check players in against the list. On Pro and Enterprise, attendance tiers (Gold, Silver, and Bronze) show regulars in the dashboard. Fans do not see those scores.

How it works

  1. Sign up free at sign-up.
  2. Add your waiver in the dashboard, or upload a PDF on Pro or Enterprise.
  3. Create a drop-in session. Set the date, time, location, cap, fee, sign-up window, and whether it repeats.
  4. Share the link. It also appears on your league's public schedule.
  5. Check players in at the door and move someone off the waitlist when a spot opens.

Which plan do you need?

  • League Basic: free. Up to 50 players, 1 admin (the owner), 1 active season, and 1 active drop-in session. Digital waivers, a public registration page, and 30-day history are included.
  • Pro: $19.99 CAD/month. Up to 150 players, 3 admins (you plus 2 co-admins), 3 seasons, and 10 active drop-in sessions. It adds PDF waiver upload (you edit the text before saving), custom themes, a custom fan domain, and a branded stream overlay template. Pay for 6 months and save 20%, or 1 year and save 30%.
  • Enterprise: $99.99 CAD/month. Unlimited players, seasons, drop-ins, and admins, plus white-label branding, a league shop, custom stream overlays, and an AI assistant. Try it free for 30 days with no card.

There are no setup fees. You can pause a paid plan anytime from Settings when the season is off.

When My League Portal is not the right fit

  • You want a native app with push notifications. My League Portal runs in the phone's browser. There is nothing to install from an app store. If your group mainly needs team RSVPs with push alerts, BenchApp, TeamSnap, or Spond may suit you better.
  • Your waiver needs legal review. The product collects acceptance of the waiver text you provide. It does not write the waiver or give legal advice.
  • You need more than one active session on the free plan. Basic covers one at a time.

FAQ

Does the waitlist promote players by itself?

No. When a spot opens, you move the next waitlist player onto the list from the check-in screen. Players can see their waitlist spot on the page instead of messaging you.

Do players have to accept the waiver every week?

They accept your drop-in waiver on the sign-up page. On the same phone, that acceptance is remembered for the same waiver, so they are not asked to read it again until you change the waiver. A different phone asks again. They still sign up for each night.

Can I charge a drop-in fee?

Can I stop sign-ups before the session starts?

Yes. You can close sign-ups a set number of minutes before the session. The default is 60 minutes before start.

Yes. League Basic includes one active drop-in session and digital waivers at no cost. A signed-waiver log can be downloaded by the league owner from Settings.
